Mail merge and personalizing emails

Emails can be personalized and you can automatically replace certain variables with information uploaded along with the email addresses. For example, you can upload contact's first and last names which can be used to personalize the salutation part of your invite message with the help of suitable variables.

You can use the following variable substitution pattern (please use curly braces, not parentheses):

• {FIRST_NAME} - First Name field - Data is not stored along with the response
• {LAST_NAME} - Last Name field - Data is not stored along with the response
• ${custom1} - Custom Variable 1
• ${custom2} - Custom Variable 2
• ${custom3} - Custom Variable 3
• ${custom4} - Custom Variable 4
• ${custom5} - Custom Variable 5
• ${customN} - Custom Variable N

You can use the variable substitution tags anywhere in the email invitation and also in the subject field. You can access this under:

• Go to: Login » Surveys » Distribute » Email » Compose.
• Click on Insert Variables icon.
• You can either include variables by clicking the button for each variable at the bottom of the screen, or you can manually insert the variables by typing the information into the text of the email invitation.
  NOTE: The variables must be included in the email list you have uploaded for the system to know what information to include in the email invitation.

At the time of uploading the email addresses you can upload the additional information along with the email addresses. For information on uploading email addresses along with the replacement variables please see Additional References section below. When the email invitation is distributed, these variables (i.e. {FIRST_NAME}, {LAST_NAME}, ${custom1}, ${custom2}, etc.) are automatically replaced with the appropriate content associated with a particular email address.

No. First name and last name variables are used for email mail merge only. This data is not saved along with the response data. If you wish to save this information, use any of our system variables also known as custom variable fileds along with the survey tracking link. Custom variable data is saved along with the response data and can be used for tracking or analysis.
